Project Administrator / IT Technician


Purpose:

The Project Administrator is responsible for assisting in the planning, coordinating, and executing the onboarding process for new physicians joining the organization. This role serves as a technical trainer for onboarding new company locations and physicians, with a focus on the post go-live education and guidance. The Project Administrator ensures onsite training and technical support to include, but not limited to EcW training, Web2Med data entry, Orchard Lab Framework, facilitating system access, and supporting operational readiness.


This position will also provide front-line technical support for clinical and administrative staff within the office setting. This role assists with troubleshooting computer hardware, software, network connectivity, and clinical systems to ensure smooth daily operations. The technician serves as the first point of contact for IT issues and supports the implementation and maintenance of office technology, including EHR/EMR applications, practice management software, and medical devices that connect to the network.


This position requires strong project management skills, excellent communication, and hands-on experience in medical office operations and electronic health records. The Project Administrator will travel across the DFW area to provide onsite support and training as needed.


Duties and Responsibilities:


Provider Onboarding Leadership

        Serve as the primary point of contact for post go live questions, concerns, etc.

        Provide onsite subject matter expert guidance to the physician and accompanying clinical team members.


Location Onboarding & Launch Support

        Once a new location is approved and ready for build-out, coordinate and lead operational onboarding components as directed by the Physician Manager, Director of Operations, or onboarding physician.

        Assist Information Technology Team in clinic readiness by confirming equipment setup, EHR access, technology connections, and workflow alignment.

        Conduct onsite technical training for staff supporting new clinic openings or expansions.

        Assist in coordinating post go-live period, by addressing operational questions, resolve arising stop-gaps, and assisting in clinical or financial data entry as needed.


Training & Systems Support

        Provide onsite EHR training for all incoming providers and support staff.

        Deliver hands-on training for clinical and administrative workflows, including scheduling, documentation, billing processes, and patient communication tools.

        Assist with system optimization and troubleshooting during onboarding.

        Orchard experience preferred; ability to support lab workflow training is a plus.

        Contribute to the overall understanding and training to applications and programs under the purview of the physician and associated stakeholders.


Project Management & Communication

        Track onboarding milestones and provide regular updates to leadership and key stakeholders.

        Maintain strong documentation of onboarding processes, timelines, and process improvements.

        Ensure all onboarding materials remain current and standardized across all locations.

        All other duties as assigned.


Travel & Onsite Support

        Travel throughout the DFW metroplex to support onsite training, onboarding sessions, and clinic go-live needs.

        Provide in-person support during the provider's initial weeks at the clinic.

        Provide virtual or in-person technical support to current staff, physicians, and relevant stakeholders.


Experience and Qualifications Required:


Qualifications Required

        Minimum 3 years of experience in a medical office, healthcare operations, or provider support role.

        Expert Level eClinicalWorks (eCW) knowledge and experience is required.

        Familiarity with practice management software and the ability to independently learn new systems.

        Excellent project management, organizational, and communication skills.

        Ability to train providers and staff both one-on-one and in group settings.

        Ability and willingness to travel throughout the Dallas-Fort Worth area.

        Strong problem-solving skills and ability to work independently.

        Strong grasp of MSFT products including outlook and excel.


Preferred

        Experience with Orchard or other lab information systems.

        Experience onboarding providers or supporting clinical operations across multiple locations.

        Experience in a multi-site medical practice or healthcare services organization.

Reporting Structure

This position reports directly to the Director of Operations or leader designated by Emprove Practice Solutions.


Works collaboratively with PHP practice leadership, clinic managers, IT support, HR, credentialing, and administrative teams.


Work Environment

  • Combination of onsite clinic environments and administrative office settings.
  • Travel across the DFW area is required. Infrequent travel to Austin may be necessary
  • Occasionally early morning or after-hours support during go-live periods may be needed.
  • Position is based in downtown Dallas with paid parking included.
